Terms & Conditions


CONTRACT OF BOOKING: No contract shall exist until the minimum payment of a non-refundable 40% deposit, and such payment is acknowledged as received.

BOOKING AUTHORISATION: Where a booking is made on behalf of several individuals, it will be incumbent on the person making the booking to bring the terms and conditions to the attention of each person for whom a booking is being made and to secure their acceptance before agreeing to these terms of conditions. The acceptance of these terms and conditions by the person making the booking shall be taken as acceptance of the terms and conditions by all individuals included in the booking. 

PAYMENT: Where only the non-refundable deposit is paid at the time of submitting the booking form, full payment of the balance due must be made 8 weeks  (56 days) before the start date of the holiday. Failure to do so may result in Ulpotha (Pvt) Limited exercising its right to cancel your booking(s) and to levy the applicable cancellation charges set out below. Please note that guests who wish to pay by credit card will need to pay a surcharge of 3.5%.

CANCELLATION: Cancellation of your holiday, for whatever reason, should be notified to us in writing.  In the event you wish to re-book your holiday (date change)  all funds paid except for 50% of the original holiday cost will be available as a credit towards a future holiday to be booked within a year. The replacement holiday dates can include the Christmas and New Year period as well, but subject to availability and at the relevant rates at that time.  The normal cancellation charges are:

  • If more than 56 days before the start date of holiday, loss of non-refundable deposit of 50%
  • 55 – 28 days before the start date of holiday, 80% of total price
  • 27 days or less before the start date of holiday, 100% of total price

We regret there will be no refunds on the Ayurveda bookings, or to any changes made to the on-going Ayurveda booking whilst at Ulpotha, due to our limited capacity and high demand.

For transfers that have been booked and paid for, and are cancelled at the last moment (for example, the day before scheduled arrival), you will be entitled to only a 50% refund because the driver has been booked especially for you, and he has not taken on any other bookings for that time.

INSURANCE: In order to participate in holidays at Ulpotha, guests must have travel insurance. Your travel agent will be able to arrange this when booking your ticket. 

COSTS : Costs include full board accommodation on twin sharing basis, transportation for an excursion per week, one massage per week, yoga classes,  and herbal steam baths. Not included are flights, insurance, airport transfers, entrance fees to cultural sites, food & drinks on excursions, beach excursions, supplementary massages and Ayurveda programmes. 

ACCOMMODATION: Accommodation is on a twin-shared basis. There are a limited number of double-bedded huts for couples that will be allocated on a first-come, first-served basis. 

PROGRAMME CHANGES: All the programmes listed will have been confirmed by the respective course Instructors. If, for any reason, a course Instructor becomes unavailable we shall do our utmost to replace them with a leader of similar qualities. Wherever possible you will be advised in advance of any alterations.

PRIVACY POLICY: You will be asked to agree to these terms & conditions upon completion of the booking form. Any personal information you enter will only be used to process your booking. We will not sell or redistribute your information to any third party.

EXCLUSIONS: We do not accept responsibility or liability for cancellations, delays, changes in course programmes, loss of/or damage to personal property of guests, or losses caused by acts of God, war or threat of war, closure of airports, civil strife, natural disasters, accidents, guests’ injuries, illnesses, medical or psychiatric conditions developed during or subsequent to the holiday, or any other events beyond or within our control.
