Ulpotha Terms & Conditions


CONTRACT OF BOOKING: No contract shall exist until the minimum payment of a non-refundable 40% deposit is made and such payment is acknowledged as received.


PAYMENT: To confirm a booking, a 40% non-refundable deposit needs to be paid as above. If a booking is made less than 8 weeks before the start of a holiday, 100% of the holiday cost must be paid at the time of booking. Where only the non-refundable deposit is paid at the time of submitting the booking form, full payment of the balance due must be made eight weeks before the start of the holiday. Failure to do so may result in East Pole Foundation Limited exercising its right to cancel your booking(s) and to levy the applicable cancellation charges set out below. Please note that guests who wish to pay by credit card will need to pay a surcharge of 5%.


CANCELLATION: Cancellation of your holiday, for whatever reason, should be notified to us in writing. The cancellation charges are:


  • Up to 56 days before arrival, loss of non-refundable deposit
  • 55 - 28 days before arrival, 70% of total holiday cost
  • 27 days or less before arrival, 100% of holiday cost


However, in the event you wish to re-book your holiday, all funds paid except for 20% of the original holiday cost will be available as a credit towards a future holiday to be booked within a year. All other terms and conditions contained here will apply to the future holiday.


INSURANCE: To cover cancellation costs and any other eventualities should they arise, guests must have travel insurance in order to participate in holidays at Ulpotha. Your travel agent will be able to arrange this when booking your ticket.


COSTS : Included in the holiday cost are full board accommodation on twin sharing basis, an excursion per week, one massage per week, yoga classes (and when available meditation classes) and herbal steam baths. Not included are flights, insurance, airport transfers, entrance fees to cultural sites, food & drinks on excursions, beach excursions, supplementary massages and Ayurveda programmes. 


ACCOMMODATION: Accommodation is on a twin-shared basis. There are a limited number of double-bedded huts for couples that will be allocated on a first-come, first-served basis. 


PROGRAMME CHANGES: All the programmes listed will have been confirmed by the respective course Instructors. If, for any reason, a course Instructor becomes unavailable we shall do our utmost to replace them with a leader of similar qualities. Wherever possible you will be advised in advance of any changes.


PRIVACY POLICY: On agreeing to these terms you will be taken to a booking form. Any personal information you enter will only be used to process your booking. We will not sell or redistribute your information to any third party.


EXCLUSIONS: We do not accept responsibility or liability for cancellations, delays, changes in course programmes, loss of/or damage to personal property of guests, or losses caused by acts of God, war or threat of war, closure of airports, civil strife, natural disasters, accidents, guests' injuries, illnesses, medical or psychiatric conditions developed during or subsequent to the holiday, or any other events beyond or within our control.
