Our Terms & Conditions - please read carefully
CONTRACT OF BOOKING: No contract shall exist until the minimum payment of a non-refundable 20% deposit, and such payment is acknowledged as received.
BOOKING AUTHORISATION: Where a booking is made on behalf of several individuals, it will be incumbent on the person making the booking to bring the terms and conditions to the attention of each person for whom a booking is being made and to secure their acceptance before agreeing to these terms of conditions. The acceptance of these terms and conditions by the person making the booking shall be taken as acceptance of the terms and conditions by all individuals included in the booking.
PAYMENT: Where only the non-refundable deposit is paid at the time of submitting the booking form, full payment of the balance due must be made 8 weeks before departure. Failure to do so may result in East Pole Foundation Limited exercising its right to cancel your booking(s) and to levy the applicable cancellation charges set out below. Please note that guests who wish to pay by credit card will need to pay a surcharge of 5%.
CANCELLATION: Cancellation of your holiday, for whatever reason, should be notified to us in writing. Please note that, when a cancellation is made less than 28 days from the start of a holiday and the full amount has been paid at such time, the 20% non-refundable deposit will be forfeited. However the balance will be available as a credit towards a future holiday to be booked within a year. The replacement holiday may not be booked during Christmas and New Year and will be subject to availability. The normal cancellation charges are:
- Up to 56 days before departure, loss of non-refundable deposit
- 55 - 28 days before departure, 50% of total price
- 27 days or less before departure, 100% of total price
INSURANCE: In order to participate in holidays at Ulpotha, guests must have travel insurance. Your travel agent will be able to arrange this when booking your ticket. Please contact us for details of local travel agents if necessary.
COSTS : Costs include full board accommodation on twin sharing basis, an excursion per week, one massage per week, yoga classes (and when available meditation classes), and herbal steam baths. Not included are flights, insurance, airport transfers, entrance fees to cultural sites, food & drinks on excursions, beach excursions, supplementary massages and Ayurveda programmes.
ACCOMMODATION: Accommodation is on a twin-shared basis. There are a limited number of double-bedded huts for couples that will be allocated on a first-come, first-served basis.
PROGRAMME CHANGES: All the programmes listed will have been confirmed by the respective course Instructors. If, for any reason, a course Instructor becomes unavailable we shall do our utmost to replace them with a leader of similar qualities. Wherever possible you will be advised in advance of any alterations.
EXCLUSIONS: We do not accept responsibility or liability for cancellations, delays, changes in course programmes, loss of/or damage to personal property of guests, or losses caused by acts of God, war or threat of war, closure of airports, civil strife, natural disasters, accidents, guests' injuries, illnesses, medical or psychiatric conditions developed during or subsequent to the holiday, or any other events beyond or within our control.
